Field types

Klarino’s field types determine what you can enter in a field and how that information behaves. Choosing the right type makes your records easier to fill in, filter and use in calculations.

Fields for text and contact details

Text

Text entry for short, single-line information.

Use case: Ideal for names or titles.

Long text

Longer text entry that needs several lines. Choose plain text for straightforward notes, rich text for additional formatting options, or the JSON editor for structured text that must be valid JSON.

Use case: A project description or the summary of a client meeting, with headings and bullet points in rich text or a JSON formatted instruction.

Email

An email address with email format validation that is clickable.

Use case: Store each customer’s contact address.

URL

A validated, clickable web address.

Use case: Link to an external website, like a supplier’s website, a product page or an external document such as a contract in your cloud drive.

Phone Number

Stores a phone number. This field type accepts various phone number formats.

Use case: Store a contact’s phone number.

Fields to handle numbers, dates and choices

Number

Stores numerical values that you can sort and calculate with. Various display options are available (unit type, decimals places, etc.)

Use case: For example quantity or weight of an item, or estimated hours for a task.

Currency

A monetary amount stored together with its currency. You have the flexibility of always using the same currency or mix different currencies.

Use case: Record a product price or a project budget.

Date & Time

A date, optionally including a time of day.

Use case: Use a date-only field for a delivery deadline or a birthday, and include the time for a client appointment at 10:30.

Boolean

A yes or no value. If you need several possible answers, choose Select instead.

Use case: Answer a simple question on each record, such as “Approved?” on an expense or “Follow-up needed?” on a lead.

Select

To select one only or multiple choices from a list of options you define.

Use case: Give each task a priority of Low, Medium or High, or tag a service with one or more categories.

Status

A workflow state organised into to-do, in-progress and done categories. It suits a record’s progress through a process.

Use case: Move a proposal through Draft, Preparing and Accepted, so you can see at a glance which proposals are still open.

Color

A colour chosen with a colour picker.

Use case: Assign a distinct colour to each project, booking resource or category, so you can tell them apart at a glance.

Fields to connect records and people

Relation

A link to one or more records in another schema, meaning another data type in your app. A single relation links to one record; a multiple relation links to several.

Use case: Link each task to the project it belongs to, or link an order to the several products it contains.

Reverse relation

The view back from a linked record to the records that point to it. The list is derived from those links and includes every linked record.

Use case: If each task has a Project relation, add a reverse relation on the project to list all of its tasks.

Matching Records

Records selected automatically by a rule you define. The results update as the matching data changes, without you maintaining the list by hand.

Use case: On a project, show only the open tasks belonging to that project; completed tasks drop off the list automatically.

User

Link a record to one or more users of your Klarino account.

Use case: Assign each task to a team member, or name a project owner and a group of reviewers.

Association template grid

A table of links in which each connection carries its own information. This is an advanced structure involving the parent, link and catalogue schemas.

Use case: Let a project select services from a catalogue, where each selected service needs a project-specific quantity.

Fields to calculate or generate values

Function

A result calculated from other fields or related records.

Use case: Multiply a unit price by a quantity to get a line total, count a project’s tasks, add up related amounts or check whether a condition is true.

Display Name

A record title assembled from a template of other fields, so you do not have to maintain it by hand.

Use case: Combine a contact’s first and last names into one label, such as “Anna Müller”, instead of keeping a separate full-name field.

ID

An identifier generated when a record is created. Choose a sequence or a random identifier, with optional prefixes and suffixes.

Use case: Give invoices sequential references such as “INV-0001” and “INV-0002” or assign random ID to orders like "XLQ45P"

Fields to hold files and structured content

File & media

One or multiple uploaded file (image or document)

Use case: Store a company logo for contacts, product photographs or the documents attached to a project.

Smart Content

Content built with diverse blocks such as text, image, table.

Use case: Write a guide that combines headings, paragraphs, lists and images.

Flexible record

One embedded record whose type can differ from entry to entry. You define the allowed types; this field requires the Flexible record system plugin.

Use case: Let each content item contain either a text section with a description or an image section with a caption.
